Your documents stay on your device.

ScanOnce is a local PDF scanning and document management app for iOS. It does not require an account, does not operate a backend server, and does not depend on cloud sync.

1. Summary

ScanOnce is built around a simple principle: your scanned documents should stay on your device unless you choose to share or export them.

All scanning, edge cropping, PDF generation, PDF preview, and document management operations are performed locally on your device. ScanOnce does not send documents to developer-operated servers for processing.

  • No account, login, or registration is required.
  • ScanOnce does not upload your PDFs, images, folders, tags, or settings to a ScanOnce server.
  • ScanOnce does not use analytics SDKs, advertising SDKs, AI processing services, or tracking technologies.
  • Documents may leave your device only when you use iOS sharing, AirDrop, Files, Mail, iCloud Drive, or another destination that you choose.

1.1 Data Collection Notice

ScanOnce does not collect, store, sell, or share any personal information.

ScanOnce does not create user accounts, build user profiles, or upload documents to developer-operated servers.

All scanning, PDF generation, PDF preview, folder management, tag management, and document organization operations are completed locally on the device.

ScanOnce is designed to let users fully control their own documents.

Unless users actively export, share, or move files to other services, documents do not leave the device.

2. Data We Handle

ScanOnce handles the content and metadata needed to provide local document scanning and management features.

Data Purpose Where It Is Stored
Scanned pages and imported images To create local PDF documents. On your device.
PDF files and thumbnails To display, preview, manage, and share documents. In the app's local storage directory.
Document metadata To show filename, creation date, modified date, page count, file size, folder, favorite status, and tags. In local app data storage.
Folders and tags To organize and search your local documents. In local app data storage.
Settings To remember appearance, Face ID protection, and auto-lock preferences. On your device.

3. Permissions

Camera

ScanOnce requests camera access only when you start document scanning. The camera is used through Apple's VisionKit document scanner to capture pages and create local PDFs.

Face ID or Device Passcode

If you enable Face ID protection, ScanOnce uses Apple's LocalAuthentication framework to verify you. ScanOnce does not receive, access, or store any Face ID data, biometric data, or device passcode. Authentication is handled entirely by iOS.

Files, Photos, and Share Extension

When you import a PDF from Files or share an image/PDF into ScanOnce from another app, ScanOnce receives only the items you selected. It does not browse your full photo library or file system.

ScanOnce only accesses files or images that you explicitly choose to import. ScanOnce does not scan, index, or read your full photo library, file system, or other content that you have not actively selected. ScanOnce only accesses the files or images necessary to complete the import process.

4. Local Storage

ScanOnce stores PDFs, thumbnails, folders, tags, and settings locally on your device. The app does not maintain a ScanOnce cloud account and does not sync documents to a ScanOnce service.

If you use iOS device backups, iCloud Drive, Files, Mail, AirDrop, or another third-party app, those services are controlled by Apple or the relevant third party, not by ScanOnce.

5. Sharing and Imports

Exporting PDFs

When you use the iOS share sheet, you choose where the exported PDF goes. Examples include AirDrop, Files, Mail, iCloud Drive, and third-party apps. The privacy practices of those destinations are governed by their own policies.

Importing Through the Share Extension

The ScanOnce Share Extension can receive PDFs and images that you explicitly share from Files, Photos, Mail, Safari, or other apps. Shared items are copied into a temporary local import area and then imported into ScanOnce's local document library. After import, temporary incoming files are removed when the app processes them.

6. Security

ScanOnce supports Face ID or device passcode protection and configurable auto-lock timing. These features are intended to reduce casual access to your local documents.

No security measure is perfect. You are responsible for protecting your device, device passcode, backups, exported files, and any destination where you choose to share documents.

6.1 Diagnostics

The current version of ScanOnce does not collect crash logs, analytics data, or diagnostic information.

7. Children

ScanOnce is a general-purpose local document scanning tool. It does not knowingly collect personal information from children or operate any child-directed backend service.

8. Changes to This Policy

We may update this Privacy Policy when ScanOnce changes. If ScanOnce's privacy practices change materially, this Privacy Policy will be updated accordingly.

9. Contact

If you contact support, you may choose to send diagnostic details, screenshots, or other information by email. That information is provided voluntarily by you and is handled through your email provider.

We will respond to privacy-related questions or support requests within a reasonable time.
